Before you send anything that starts a deadline or ends a right, read the sentence in the lease, contract or statute that says how notice must be given. That sentence decides the address, the method and sometimes the recipient’s title.

How Piloxa handles a legal document

  1. The document is kept as approved. A pasted notice is laid out as US Letter pages you review; an attached PDF is printed exactly as it is, kept byte for byte and never re-laid-out, so a lawyer’s formatting, a signature image and exhibit numbering all survive.
  2. It is fingerprinted. The approved file gets a SHA-256 fingerprint. Any later change to the file, even one character, produces a different fingerprint.
  3. The recipient is checked. The address goes through a postal address check before you pay, and the address actually printed is stored in the record.
  4. A person approves it. Nothing prints until you have read the exact pages, the recipient and the total and paid. The words you authorized it with and the time are recorded.
  5. The mailing is recorded as it happens. The printer’s reference, the hand-over, and each USPS tracking scan with its source. With the electronic return receipt, the signature record once USPS releases it. Where nothing has come back, the record says “no record yet”.

Piloxa does not offer Restricted Delivery, the paper green card, Registered Mail, Priority Mail, same-day delivery or international mail. If your notice clause requires one of those, the Post Office counter is the right place for this letter.

Timing a notice against a deadline

A notice authorized on a working day is handed to the printing partner that day and is normally with USPS the next business day. It then travels as First-Class Mail, so most letters arrive in about two to five business days, with no guarantee. If the rule counts from receipt, not mailing, send it a week or more before the date that matters. A notice due tomorrow is a job for a courier, a process server or the counter, not a mailing service.

What should I look for in a legal certified mail service?

Real USPS Certified Mail with a USPS article number; the exact document you approved kept unchanged, not re-typed or reformatted; the printed recipient address stored; a return receipt option; and a record you can still download months later. Ask whether you see the exact pages before you pay, and whether the service keeps the file or only the tracking number.

Is a certified letter legally binding?

The mailing method does not make a letter binding. What it does is make the notice hard to deny: a USPS-recorded date of mailing and, with a return receipt, a record of delivery and who signed. Whether the letter has legal effect depends on what it says and the rule or contract behind it.

Can I send certified mail for legal documents I already have as a PDF?

Does certified mail count as serving someone with court papers?

For a summons and complaint, generally not when you mail it yourself; some states allow certified mail service by an officer, clerk or authorized person.
