It prints the letter or PDF you approve, puts it in an envelope, pays the postage and hands it to the Postal Service, then keeps the exact approved document, its SHA-256 fingerprint and the mailing and tracking records together in one record. Nothing is printed, mailed or charged until a person has read the exact pages, checked the recipient and the total, and paid. Step by step
- Make the PDF final. Signed, dated, with any enclosures you want mailed included in the same file. Set the page size to US Letter (8.5 × 11 inches), the paper it prints on.
- Attach it. Open piloxa.com/app and attach the PDF on the review page. You sign in with your email address so the file and its record have somewhere to live.
- Enter the recipient. Name and mailing address go in the recipient fields; the address is checked against postal data before you pay.
- Check the pages and the total. You see each page as it prints, the page count and one total for the service you choose.
- Pay and authorize. Only now is anything printed. On a working day the file goes to the printing partner the same day, and the envelope is normally with USPS the next business day.
“Byte for byte”: what happens to your file
Most print-and-mail tools take a document and rebuild it: they extract the text, re-flow it into their template, or flatten it into images. Piloxa does none of that to a PDF. The file you attach is the file that prints and the file that is kept. Fonts, letterhead, a scanned signature, exhibit stamps, page numbers and line breaks stay where you put them.
The kept file is fingerprinted with SHA-256: a 64-character code computed from every byte of the file. Run the same calculation on your own copy later and you get the same code if, and only if, the file is identical. That is how the record ties one exact document to one mailing. It is also why a PDF cannot be edited after you attach it: to change a word, change your own file and attach the new version, which gets a new fingerprint.
The address on your page and the address on the envelope
Letters often carry the recipient’s address block at the top of page one. Piloxa does not read the envelope address off your PDF. The address the letter is mailed to is the one in the recipient fields, after the postal check, and that is the address stored in the record. The printer adds it on its own address page, so nothing is printed over your document.
So check that the two match. If your letter is addressed to “Acme Property Management LLC, Suite 400” and the recipient fields say “Acme Property Mgmt” with no suite, the envelope goes where the fields say. If you do not have a PDF, you do not need to make one. Paste the text of the letter instead and Piloxa lays it out as US Letter pages you can still edit on the review page, then prints and mails it the same way. Use a PDF when the layout matters — a signed original, a lawyer’s letterhead, a form, a document with exhibits. Use pasted text when it is a plain letter you just wrote. Questions people ask
Will my PDF be changed or reformatted?
No. The attached PDF is printed exactly as it is and kept byte for byte. Piloxa does not re-lay it out, re-type it or merge anything into it; the mailing address goes on the printer’s own address page.
Can I send a scanned document?
Yes, as long as it is a PDF. Scan at a resolution where the smallest text is sharp, check every page on the review screen, and keep the original paper yourself.
Can I send a signed contract or a court document this way?
Yes. Signed PDFs print as signed. Whether mailing a copy is the right way to deliver that particular document is a question for the contract or the court rule; see legal notices by Certified Mail.
How do I prove later which file was mailed?
Keep your own copy. Its SHA-256 fingerprint matches the one in your record only if it is the identical file. The Evidence Pack adds a certificate that names the letter by that fingerprint, with the document itself included. Proving what was inside.
