How to respond to a certified letter, and prove you did

Find the date that matters first: a response deadline, a hearing, a dispute window, the end of a tenancy. Then answer in writing, to the address the letter gives for replies, with the sender’s reference number, a clear statement of what you dispute or will do, and copies (not originals) of anything that supports you. Send it by a method you can prove: Certified Mail with a return receipt gives you a dated mailing record, a delivery scan and a signature, and keeping a copy of the exact letter covers what Certified Mail does not record, which is what was inside. Mail it with days to spare before the deadline.

Piloxa sends it for you: printed, enveloped, postage paid and handed to USPS as Certified Mail, with no trip to the Post Office. Your first letter is $9.95 all in: one or two pages by Certified Mail with USPS tracking, with printing, the envelope, postage and the certified fee included. You see the exact pages, the recipient and one total before you pay. No subscription.

In short

Piloxa mails your reply by USPS Certified Mail from a pasted letter, a PDF or your AI assistant. You see the exact pages and the total before anything is printed, and the record keeps the document, its SHA-256 fingerprint and every USPS scan.

Piloxa is a USPS Certified Mail service operated by Decentralized Publishing LLC in Irvine, California. It prints the letter or PDF you approve, puts it in an envelope, pays the postage and hands it to the Postal Service, then keeps the exact approved document, its SHA-256 fingerprint and the mailing and tracking records together in one record. Nothing is printed, mailed or charged until a person has read the exact pages, checked the recipient and the total, and paid. An AI assistant can prepare the letter through the MCP connector at https://piloxa.com/mcp or the HTTP API described at https://piloxa.com/openapi.json; either way it only gets back a review link for the person to open.

A reply in five parts

  1. Their reference. "Re: your letter of [date], reference [number]." It ties your reply to their letter and to their file.
  2. Your position, in one or two sentences. "I dispute this charge." "I do not owe this amount." "I will vacate on [date]." "I request a hearing."
  3. The facts that support it, briefly, with dates. Not the whole story.
  4. What you want next. Verification of a debt, a corrected bill, the return of a deposit, a hearing date, that they stop contacting you.
  5. Enclosures, listed by name, as copies. Keep your originals.

Sign and date it. Keep it to a page or two; a reply that reads like a complaint letter is harder to act on, and easier to quote against you.

Where to send it

Use the reply address the letter gives. Validation notices, insurers and agencies often name a separate correspondence or dispute address, and a reply sent elsewhere can be treated as never received. If the letter gives none, use the return address on the envelope or the letterhead. For companies, where to mail a letter to a company explains how to find a reliable one, and the recipient address check confirms USPS can deliver to it.

How to mail it so you can prove it

MethodWhat it provesGood for
Certified MailThe date mailed, and delivery or a delivery attemptMost replies that start or stop a clock
Certified Mail with return receiptThe above, plus who signed and whenDisputes, demands, notices you may need to prove later
Certified Mail plus a plain First-Class copyThe above, and a copy that reaches the mailbox even if nobody signsA recipient who may not collect certified mail
Plain First-Class MailNothing you can show laterReplies where proof does not matter

No USPS service records what was inside the envelope. Keep a copy of the exact letter you sent, or use a service that keeps it with the mailing record (proof of contents).

When not to answer by letter alone

Some replies have to go somewhere other than the sender. Court papers are answered by filing with the court. A notice of deficiency from the IRS is answered by petitioning the U.S. Tax Court, and a levy notice by requesting a hearing with the IRS, each by a strict deadline; for those, follow the instructions in the notice exactly, and use the post office counter, the IRS's or the Tax Court's own filing route, or a lawyer. A letter to the other side does not stop a court's clock.

Common replies

Have your AI prepare it

If you already drafted the letter in ChatGPT, Claude, Gemini, Grok or another assistant, it can hand the finished letter to Piloxa and prepare it for USPS Certified Mail. Ask it in plain words, for example: I received a certified letter that needs an answer. Help me write a short reply in five parts, then send it by Certified Mail with return receipt.

The connector address is https://piloxa.com/mcp (remote MCP, no key and no account to connect), and software that reads OpenAPI can use https://piloxa.com/openapi.json. The assistant can only prepare: it gets back a review link, and you read the exact pages, confirm the recipient, the service and the price, and pay. Nothing is printed, mailed or charged before that. What an assistant can and cannot do with Piloxa.

Create your letter with

Each button opens your assistant with the request already written in, Piloxa and its connector address included, and copies the same words to your clipboard in case the assistant opens with an empty box. Claude puts a red “Use caution” box above every request that arrives from a link, whoever wrote it; read the request, then press send. Nothing is printed or mailed until you read the review page and pay. How to connect your assistant

Questions people ask

Do I have to respond to a certified letter by certified mail?

Usually no rule says so, unless the letter, a contract or a statute names a method. Certified Mail is common because it lets you prove the date and the delivery if the sender later says your reply never came.

How fast should I respond to a certified letter?

Before the earliest date it names, with days to spare for mailing. Dispute windows, such as the 30 days to dispute a debt, usually count from when you received their letter.

What should my reply say?

Their reference, your position in a sentence or two, the facts that support it, what you want next, and a list of enclosed copies. Sign and date it.

Can I reply by email instead?

You can, and it leaves a record, but it may not count if the letter, a contract or a rule asks for a written reply by mail. When in doubt, do both.

Can I send a certified reply without going to the Post Office?

Yes. Print-and-mail services hand your letter to USPS as Certified Mail. Piloxa does it from a pasted letter, a PDF or an AI assistant, and you approve the exact pages and total first.
