Which records do you have for the letter you mailed?

Whoever mailed it (a Post Office counter, another service or Piloxa), answer six questions and get a plain inventory of what you hold and what you do not. Copy it for your AI assistant or keep it with the letter.

What the four answers mean

• I have it: you hold the record now, on paper or as a file.
• I do not have it: the record may exist somewhere, but you cannot supply it.
• Not sure: you do not know. The inventory says “unknown” and nothing more.
• Not bought for this letter: the service was never purchased, so there is no record to have. Only offered where that is possible: a mailing provider’s acceptance record and a return receipt.

What this checklist does not do

It gives no score and no verdict. It never reads a missing record as proof that a letter was not delivered, and it never reads the records you have as proof that it was. Certified Mail records show that a USPS article was accepted and, where scanned, delivered; they do not show what was inside the envelope, or that anyone read it. Whether the records you hold satisfy a notice rule is a legal question for your situation, not something this page can answer.
